Data Protection Practices

This website is a secure email portal.

Under the General Data Protection Regulation (GDPR), the lawful basis we rely on for processing this information is a legitimate interest to send and receive secure email.

Data related to your account

Personal data related to your account are stored in our secure database for as long as your account remains active. Your data is removed after an inactivity period of one year. Recipients that register to receive a message in PDF format have an extended inactivity period of three years to allow longer-term access to your password history.

  • We use your email address to address email messages, and as part of the customer support and troubleshooting process.
  • We use your first and last name in the "from" field of an email to identify you to your recipients.
  • We use your language preference to present the web portal and certain types of messages (e.g. PDF) in your preferred language.
  • We use the security information (recovery questions, alternate email, etc), entered by you during registration or afterward, to help prevent unauthorized access to your account.

Data related to your messages

We receive, transcribe, and securely deliver emails. Emails sent via this secure portal will expire and are automatically deleted after a short period of time - usually between 30 and 90 days. Recipients can reply to messages through our service which will be sent back to the original sender.

  • We store your sent and received messages in the portal for (generally) thirty to ninety days, after which they expire. You may choose to delete any of your sent or received messages at any time.
  • We use your connecting IP address for troubleshooting and support purposes. This data is maintained for 90 days and is automatically deleted after that time. In certain cases a sender may choose a longer-than-usual retention period. In such cases, the retention period is clearly stated in your message notification email, and in the portal.

Other data

We monitor statistics on the use of this service to provide reporting on the operation of the service.

Marketing, profiling, and sharing/sale of personal data

We do not perform any marketing, profiling of users across the Internet, or sell/share information on this site to any other parties.

Profile data from login partners (Social networks / OAuth platforms)

When you use a 3rd-party account such as Google or Facebook to log into our website, we simply verify that you are authorized to log in with your account. We do not capture any additional profile data related to that account.
